Your office runs on paper and one tired person.
That can be fixed.

I go into owner-run businesses, follow how paperwork and money actually move, and rebuild it so nothing gets lost, theft is hard, and nobody types the same thing three times. AI does the typing. You own every piece of it.

Who this is for

Owner-run businesses with about 10 to 100 people.

Contractors, haulers, ag services, auto shops, trades, property managers. The owner is in the field or the shop, not at a desk. The paperwork is tickets, work orders, delivery slips, invoices and timesheets, and one office person or family member keeps it all in their head, in QuickBooks or a stack of spreadsheets.

Most owners call when one of these happens:

  • Money went missing. A payment that never landed, a vendor nobody recognizes, or a full theft.
  • The person who knows everything is leaving. Retiring, sick, or quitting, and nothing is written down.
  • The next generation is taking over and wants the business run on something better than memory.
  • Someone outside is pushing. The CPA, the bank, the bonding company or the insurer wants cleaner books.
  • Work is getting lost in the pile. Invoices go out weeks late, and the owner does paperwork at night.
What I actually do

I'm not an AI agency.

I fix back offices. The tools to do it are cheap and good now: current AI reads a phone photo of a handwritten ticket and pulls out the fields, and the automation that moves it into your books costs a few dollars a month. What's usually missing is someone who will sit in your office, learn how the work really flows, and set it up so you trust it.

Every job follows the same steps:

  1. Find what starts the money moving. A load hauled, a job finished, a bill arriving.
  2. Follow it. Every hand, inbox, folder and spreadsheet it passes through until the cash is in the bank.
  3. Map it on one page, with the gaps marked: the places where one person can move money and nobody checks.
  4. Rank the fixes by hours saved and dollars at risk, and do the biggest one first.
  5. Build it and test it on your real history. Last month's actual paperwork goes through the new system and gets compared to what really happened before anything goes live.
  6. Hand it off. A written runbook, and training until your office person runs it without calling me.
  7. Watch it. Every automation reports its own failures to me and to you. Nothing breaks quietly.
How it works

Each step is its own yes or no.

Walk-through

45 minutes at your place. I look at how paper and money move and tell you the two or three biggest problems I see. No charge, no pitch.

Free

Back-office diagnostic

I spend a day with your office, then you get a written report: a map of how money and paper move, the control gaps, the top five fixes ranked by what they save or protect, and a 90-day plan. It's useful even if you never hire me again. The fee is credited toward a build if you go ahead.

$1,500

Build

A fixed price per workflow, agreed in writing before work starts. Examples: paper tickets into invoices, bills in and approved and paid, timesheets into payroll prep, the filing cabinets scanned into searchable records, QuickBooks Desktop moved to Online.

$4,000–12,000

Theft-proofing

Duties split so no one person controls money end to end, daily bank reconciliation, alerts on new vendors, changed bank details and duplicate payments, and a one-page dashboard for the owner. On its own or added to a build.

$3,000–6,000

Care plan

I watch the system, fix what breaks, make small changes, answer your staff's questions, and sit down with you for 30 minutes a month to review it.

$500–1,500 / mo

Every price is fixed and written down before work starts. Subscriptions for the tools are billed to you directly by the vendors.

Lines I keep

What I don't do.

  • Bookkeeping, tax or accounting advice. Your bookkeeper and CPA keep their jobs. I build the system they work in, and most of them are glad to see it.
  • IT support. Networks, laptops and printers go to a local IT provider.
  • Chatbots or marketing. If that's what you need, I'm the wrong call.
  • Lock-in. Every account and subscription is in your name and paid by you, usually under $100 to $200 a month in total. The tools are ordinary on purpose. If I disappeared tomorrow, the system keeps running and someone else could pick it up.
Why me

I've seen how small businesses get robbed from the inside.

My day job is law enforcement, where I work as a financial crimes investigator: following how money and paper move after something has gone wrong. Before that I spent about nine years in banking and lending, reading financial statements, credit reports and loan files for a living. I know what a clean set of books looks like, and what a messy one hides.

Small businesses are hit hardest by internal theft. The Association of Certified Fraud Examiners puts the median loss at organizations under 100 employees at about $126,000 a case. In its past reports, the most common weakness behind small-business cases was simply a lack of internal controls: nobody checking the person who handles the money. That's a records problem before it's a people problem, and records problems can be fixed.

I also run my own life and work on the same kind of AI-assisted system I build for clients. You can see how it works, failures included, on the OS page. I'm local, I come to you, and I'm the person you talk to every time.
